Dublin Event Chair Guidelines
*All ideas must be run by Ms. Bigi in terms of....having enough space, equipment, and allowed in school settings.
*All flyers, forms, sign-up geniuses, or Social media posts MUST contain Dublin Elementary PTA.
*All social media posts must be posted on the PTA pages by a PTA secretary.
*All flyers, forms, sign-up geniuses, or Social media posts MUST be approved by PTA representative
*All school events can only be posted on Dublin pages ( other Dublin fb parents have set up)
*Purchases must be made by the chairs and then submit a reimbursement form with original receipt to the PTA treasure to receive your reimbursement. -Note the budget for the event will be clarified in advance. You will only be reimbursed up to that amount unless otherwise approved.
*Ask for a tax exempt form for all big ticket items to reduce the cost of sales tax
*Any cash donations need to be turned into the office asap and then inform your PTA representative it is in the school.
*Any community donations must be tracked and report given to the PTA regarding what, the amount or retail value of goods and services, contact name, address and phone number.
*When forms with money are turned in for an event, The money nor the forms should be separated or removed at any time by anyone other then the PTA treasurer and Board member. (The treasurer and another board member will come in and count the money and you will receive any and all information needed for the event)
*Any donations in the form of a check MUST be made out to Dublin Elementary PTA
*Follow Event Chair Responsibilities
*Please be considerate when asking for community donations. We rely on the community for donations for multiple events a year, please keep that in mind.
Event Chair Responsibilities
Meeting with your Co-chair to share ideas and get acquainted Informing
Communications of the theme (To the school community and PTA Board)
Working within their budget to plan the event, working within the guidelines provided by the PTA Board Building or creating a sign-up for volunteers/donations Finding sponsors (If applicable)
Supervising the event, Working with school janitors (if necessary) for setup and cleanup.
